VMS (Vendor Management System)

A platform used by enterprises to manage their external staffing vendors, track contractor performance, handle rate negotiations, and ensure compliance across multiple vendor relationships.

A Vendor Management System (VMS) is an enterprise procurement tool specifically designed for managing contingent workforce suppliers. Large organizations that work with multiple staffing agencies use a VMS to centralize vendor interactions, standardize processes, and maintain oversight of their external talent supply chain.

Core VMS functions include requisition distribution to approved vendors, rate card management, candidate submission and shortlisting, timesheet and billing management, vendor performance scorecards, and compliance tracking. Popular VMS platforms in India include SAP Fieldglass, Beeline, and IQNavigator.

For staffing agencies, VMS integration is often mandatory for enterprise client relationships. Agencies must submit candidates through the VMS, adhere to rate caps, and meet SLA requirements tracked within the system.
